Job DescriptionThe Executive Assistant position to the SVP of Enterprise Technology Services is most suited for an individual who can handle multiple tasks, works quickly and efficiently to organize data and meet deadlines with a very high degree of accuracy and attention to detail. Is poised under pressure and can prioritize the workload. Has the ability to communicate clearly, accurately, and tactfully, both verbally and written. Demonstrates strong organizational skills to handle multiple tasks simultaneously and completes projects/assignments as required with minimal supervision. Complete confidentiality and absolute discretion are mandatory for this position.Critical Priorities: Priority #1: Heavy calendar, business travel coordination and expense statement processing -- including reoccurring appointments such as 2,000-person streaming department-wide ETS Town Halls, Ask Bobby Anything colleague dialog sessions, ETS Staff Meetings, ETS Strategy Sessions and external vendor Quarterly Business Reviews Priority #2: Work closely with the Chief of Staff in all matters related to the office of the SVP Priority #3: Monitor SVP's email inbox and follow up on deliverables and approvals, as well as monitor the two department-designated mailboxes Priority #4: Partner with Audio Visual, Streaming, and the Television Studio in all aspects of ETS broadcast events Priority #5: Maintain various electronic department distribution lists and department-wide org chartMajor Priorities: Attend all ETS Directs meetings, assist with agenda, and proactively follow through on any deliverables Navigate internet tools, applications, and business technologies such as Ariba, Concur, TEAMS, SharePoint, and Webex Serve as head executive assistant/mentor to a team of eight department executive assistants Occasional flexible working hours to support the executive while traveling and with other priority and ad-hoc assignments Coordinate and attend offsite meetings and events May be involved in HR activities for the organization unit including job posting, recruiting, interview process, new hire onboarding, office setup, and organization hierarchyRequired Qualifications 2+ years of executive administrative support in a professional services or technical support experience including the following: Experience supporting senior executives and their departments in a large corporate environment. Healthcare and/or IT experience is preferred. Exceptional communication, organizational, and time management skills are required. Superior interpersonal skills and the ability to collaborate with leaders and staff at all levels is required.
