Job Description The Radiology Scheduling Assistant works in a fast‑paced, high‑volume environment, performing administrative tasks that support the scheduling of outpatient diagnostic exams, including non‑walk‑in x‑ray, ultrasound, mammography, MRI, and CT procedures, using a Radiology Information System (RIS). Exams are scheduled in accordance with established resources, schedules, and protocols provided by CORA's clinical supervisors and managers. The Radiology Scheduling Assistant is responsible for gathering all required information related to pre‑authorization, order processing, billing, and any pre‑clinical questions associated with a specific exam. Reports to Scheduling Manager and Chief Outpatient Operations Officer Supervision Exercised None Essential Duties This position requires regular, reliable attendance with a high level of attention to detail and accuracy. The consequences of even a minor mistake can be significant for both patients and providers. * Ability to organize and coordinate multiple tasks at one time. Must have the ability to work independently as well as within a team environment when necessary. * Strong oral and written skills, maintaining a high standard of professionalism in all communications. * Ability to communicate effectively with all ages and comprehension levels over the telephone. * Solid analytical and technical skills. * Aptitude to learn new information quickly and accurately. * Proficiency in basic computer use with the ability to quickly learn and adapt to new software systems. * Working knowledge of HIPAA guidelines and requirements, able to maintain strict confidentiality. This position routinely views patient medical records to research relative exams for scheduling purposes, as well as to answer exam specific questions. Additional Duties: * Process and index incoming orders from referring offices. * Verify all patient demographic information based on information provided by the referring provider. * Verify scheduled exams for accuracy including verifying prior imaging and insurance information. * Initiate appropriate text message notifications to patients. * Communicate with team lead or manager regarding all departmental concerns. * Performs other duties as necessary to keep the department running smoothly. This may include, but is not limited to, reminder calls to patients, communicating with referring providers to request appropriate orders, reviewing a modality schedule for accuracy, handling questions and requests from technologists and other internal staff or training new employees. * Establish and maintain effective working relationships with referring physicians and nurses, patients and co-workers. * Flexible and willing to participate in coverage for department shortages to meet patient need. * Ability to work cohesively and cooperatively with others and as part of a team. * Other duties as assigned. Education and Experience Graduation from high school or equivalent is required. A minimum of one year experience in customer service is required. A minimum one year in a health care environment is preferred; experience directly related to healthcare appointment scheduling or radiology highly preferred. Must be detailed oriented, able to exercise good judgement and work under pressure.
