BigFoot Staffing is excited to offer a Direct Hire Operations Coordinator position supporting the Mechanical Department of a Fleet Vehicle Service Center. This role plays a critical part in managing work orders from intake through completion, ensuring technicians have the information, parts, and coordination needed to complete jobs efficiently.The ideal candidate has direct experience working with mechanics, service advisors, or shop personnel and understands how mechanical work orders flow through a service environment. This position requires someone who can track multiple jobs simultaneously, coordinate across departments, and maintain accurate documentation throughout the repair process.You will work in a fast-paced fleet service environment, collaborating daily with technicians, shop managers, parts staff, and administrative teams to keep operations organized and prevent delays in the shop workflow.Key ResponsibilitiesManage work orders from intake through completion, ensuring accuracy and proper documentationTrack the status and progress of all active repair jobs within the shopMaintain and update work order systems and visual job tracking toolsCoordinate communication between mechanics, parts department, purchasing, transport, and invoicing teamsEnsure technicians have the correct scope, parts availability, and job information before work beginsIdentify and escalate delays, stalled jobs, or missing information that could affect workflowVerify that work performed aligns with the approved estimate and scope of workMaintain accurate digital job records and documentation throughout the repair processResolve discrepancies between shop paperwork, work orders, and internal systemsPrepare completed job packages and documentation for final invoicing and billingAssist with repair scheduling coordination and technician workload visibilityMaintain operational logs and job tracking tools used by the shop management teamSupport clear communication between office staff and mechanical techniciansQualifications & SkillsDirect experience coordinating work orders in a mechanical or service shop environmentStrong understanding of how repair orders and shop jobs move from intake through completionAbility to work closely with mechanics and technical staff in an industrial settingStrong organizational skills and ability to track multiple jobs simultaneouslyHigh attention to detail when managing repair documentation and job recordsStrong written and verbal communication skillsAbility to identify workflow bottlenecks and escalate issues quicklyComfortable working independently while supporting a team-based shop environmentReliable attendance and professional work habitsStrong computer skills and ability to learn shop management software systemsPreferred BackgroundsOperations coordination in fleet maintenance or vehicle service centersService advisor or service coordination roles in automotive, diesel, or heavy equipment shopsDispatch or scheduling roles supporting mechanical techniciansAdministrative roles in fleet operations, transportation, or equipment repair facilitiesShop office management within mechanical or industrial environmentsWork EnvironmentOn-site position within an active fleet service facilityOffice workspace located within a working mechanical shop environmentFrequent interaction with mechanics, shop supervisors, and operations staffIndustrial shop environment with typical noise and activity from vehicle repair workCollaborative team culture focused on efficiency, organization, and clear communicationCompensation & Benefits$55,000 - $65,000 annual salaryStable full-time position with long-term growth potentialOpportunity to work closely with experienced mechanical and fleet operations teamsHigh-impact role responsible for keeping shop operations organized and movingSupportive and team-oriented workplace environmentIf you have experience working alongside mechanics and understand how repair work orders move through a shop, we would love to hear from you.
