Job Description

The Intellectual Property ("IP") Docketing and Client Manager is responsible for managing the IP docketing systems and procedures firm wide as well as IP client transitions (Transfers-in, Transfers-out, Disengagents). Responsibilities include active involvement in developing, implementing, and improving workflow and processes for both the docketing and transition functions, working with attorneys and section management to establish best practices, and performing double checks and routine audits to ensure compliance. The IP Docketing and Client Transition Manager will interact daily with attorneys and staff from all of our offices. Primary Responsibilities: Oversee all IP docketing functions firmwide, including U.S. and foreign patent, trademark, and copyright matters, ensuring accurate calculation and tracking of deadlines across jurisdictions. Provide oversight and guidance to the IP Files team to ensure smooth client transitions and other IP Files related activities. Manage, train, and supervise a team of IP docketing professionals, including hiring, workload allocation, performance evaluations, and professional development; Work with the IP Files Manager on the same for their team. Establish, maintain, and enforce docketing policies, procedures, and quality-control standards consistent with firm risk management requirements and best practices. Serve as the primary subject-matter expert on USPTO, WIPO, EPO, and foreign IP office rules, deadlines, and procedural changes, and ensure timely implementation of rule updates. Ensure accurate intake, review, and docketing of incoming correspondence from IP offices, foreign associates, and third-party vendors; also ensure proper de-docketing of deadlines based on the action taken. Act as the firm's primary administrator and business owner for IP docketing software and related systems, including system configuration, upgrades, vendor management, and user training. Oversee audits and periodic reviews of docketing records to identify discrepancies, mitigate risk, and maintain data integrity. Develop and deliver new hire and ongoing training and guidance to IP practitioners and business professional on docketing procedures, deadlines, and best practices. Coordinate with Conflicts, Information Governance, Finance, and IT teams to ensure accurate matter setup, reporting, and system integration. Generate docketing reports, metrics, and KPIs for practice leadership, operations, and firm management. Lead or support process-improvement initiatives focused on efficiency, scalability, automation, and global harmonization of IP docketing practices. Assume additional responsibilities as requested. Job Qualifications: Bachelor's degree and/or minimum of 10 years docketing experience. Minimum of five years docketing management experience. Prior law firm experience required. Ability to maintain confidentiality in all matters. Excellent attention to detail. Proficient in Microsoft Office programs, patent specific programs including patent searching software, docketing databases, document assembly programs, and efiling. Excellent interpersonal skills. Excellent oral and written communication skills. Ability to multi-task and meet various deadlines. Strong analytical abilities, resourcefulness, and attention to detail Ability to interact effectively with attorneys, paralegals, and support staff promoting a collaborative atmosphere. Proven leadership skills with the ability to motivate and develop staff. Physical Demands:This position requires sitting or standing for long periods of time and the continuous operation of standard office equipment, such as computers, keyboards and phones. It also requires mobility sufficient to perform certain job functions, such as getting to photocopiers/scanners/fax machines, and regular bending, reaching, lifting, stooping and occasionally pulling, pushing and/or lifting items that weigh up to 25 pounds.
