Job Description

Position Summary This position provides complex administrative and program support to the Central Medical Records (CMR) office-requiring analytical and independent reasoning skills. This lead worker position sets daily work priorities for all CMR employees, provides guidance to co-workers as needed, acts as primary representative of CMR for callers from within and outside of the DOC, consults with supervisor regarding significant issues, and trains new employees, resident workers and light duty officers temporarily assigned to work in CMR. This position requires an understanding of a variety of federal and Wisconsin laws governing the confidentiality of medical, mental health and alcohol and substance use disorder (SUD) information, as well as complex records management principles. The primary areas of responsibility include coordinating the daily work and operations of the CMR unit, processing requests for confidential health information from within and outside of the DOC, serving as a primary consultant to the HIS for medical records policy and procedure updates and other quality improvement assignments, and implementing Records Retention/Disposition Authorizations issued by the Public Records Board. Additional responsibilities include entering and reviewing data in electronic databases, participating in special projects and administrative assignments, responding to verbal and written communications, drafting documents as directed, compiling statistics for the CMR unit, ensuring that Health Care Record supplies are available to all DOC facilities, scanning, indexing and validating paper Health Care Records (HCRs) as it relates to ongoing EMR digitization and optimization efforts, and providing overall administrative support functions. Salary Information This position is in pay schedule and range 06-13 with a starting pay of $24.02/hour. Pay will be set in accordance with the Compensation Plan and Wisconsin Administrative Code in effect at the time of hire. A probationary period is required. Job Details This position offers an optional hybrid remote work schedule, allowing potentially up to 3 days remote per week (after training is complete) based on work needs. Any remote work must be performed from Wisconsin. This position is FLSA Non-Exempt. Anticipated schedule will be Monday - Friday 7:45 AM - 4:30 PM. Anticipated schedule will be day-time hours Monday - Friday. Specifics can be discussed at time of interview. This position is not anticipated to travel on a regular basis, but most DOC positions occasionally travel for training, meetings, conferences, or similar events. Qualifications Minimally qualified applicants will have experience: * Utilizing computer software such as Microsoft Office Suite (Outlook, Word, Excel, etc.) to create or manage reports, spreadsheets, memos, etc. * Providing customer service and/or administrative support in an office setting (e.g., maintaining files and/or records, drafting correspondence, assembling materials) * Working with and responding to medical records requests, including compliance with HIPAA and confidentiality laws. * Experience interpreting, applying and communicating policies. In addition to the above, well qualified applicants will have experience: * Performing lead worker related duties such as: assigning, reviewing, evaluating and revising daily workflows or operations, training/mentorship, creation and tracking of routine reports, etc. * Experience with facilitating and processing billing and claims record requests for internal staff and external stakeholders/vendors/requestors. * Experience with electronic medical records digitization and optimization duties.
