The Visual Operations Specialist serves as a key strategic partner to the Executive Director. This individual acts as a lead project manager, proactively "looking around the corner" to manage workload, plan resources, and handle all administrative logistics. By ensuring all deliverables are met, this role enables the creative team to function seamlessly.Responsibilities:Proactive Project Management & PlanningVisual Calendar Ownership: Manage and update the VM master calendar weekly. Track all critical dates, including directive execution, market milestones (showroom setups), store flips/openings, pop-ups, and in-store marketing activations.Workload Forecasting: Proactively identify upcoming workload needs and liaise with business partners to schedule key meetings, touchbases, and setups (AD, Wholesale, and Rotational).Production & Logistics: Lead the project management of store and window propping, overseeing everything from prop delivery logistics to installation schedules.Directives & Visual CommunicationResource Development: Build and format all visual directives and guidelines (Seasonal, Market, One-off, and Evergreen). Ensure best-practice layouts for maximum field usability.Content Coordination: Schedule and manage all photography for directives, including studio/IT coordination, server organization, and field feedback communication.Activation Support: Strategically prep and manage the logistics and communication required for one off activations (off site pop ups or events )and on going store communication as needed.Visual Execution & Showroom OperationsHands-on Support: Provide active, on-site support to the Visual team as needed, including garment steaming, dressing bust forms , setting brand standards, and sample organization.Showroom Readiness: Lead showroom logistics by partnering with the Facilities team to ensure all fixtures and props are staged and ready for the creative team's arrival.Operational Setup: Manage the physical preparation of spaces, ensuring the environment is organized and optimized for efficient creative workflow.Procurement & Financial AnalysisSourcing & Ordering: Lead the sourcing and procurement of VM items and fixtures, ensuring high-quality selection and timely delivery.Cost Analysis: Perform thorough cost-benefit analyses on sourcing options and present the best financial and operational solutions back to the Executive Director.Budget Oversight: Own and track the departmental budget throughout the year with regular interaction with the Executive Director, managing PO submissions, invoices, and vendor financial correspondence.Desired Background:Minimum Bachelor's degreeExperience:5+ years' of retail visual management experience in multi-store capacitySkills:Strong interpersonal skillsProactive thinker, capable of anticipating problems and developing effective solutionsStrong on-site visual merchandising experienceExcellent verbal and written communication skillsMeticulous attention to detail and organized with excellent follow up skillsMust be able to interact across departmental divisions and integrate/collaborate with corporate partnersMaintain a positive, enthusiastic and energetic demeanor which helps foster an upbeat working environmentFlexible with an entrepreneurial drive and ability to act independentlyAbility to travel up sporadically as work load requires - note this will be less than 10%Knowledge of Macintosh and Adobe platform and digital camera skillsProficiency in Microsoft Office applications (Outlook, Excel, Word)Base Pay Salary:The base salary range for this position is $65,000 - $75,000. Base pay offered may vary depending on skills, experience, and location.
