Job Summary and Purpose: The responsibility of the service writer position is to perform administrative support to the Service Department. The service writer will be organized, a self-starter and an effective communicator that will maintain consistent and clear interactions with all department staff, customers, vendors, and management. u2022 This position will champion a u201cSafety Firstu201d, u201cCustomer Focusedu201d and a u201cContinuous improvementu201d culture. u2022 Enforce and adhere to all company policies, procedures, standards, and values. u2022 Maintain excellent customer and employee relations. u2022 Work safely at all times. Adhere to all VCES safety guidelines, policies, and practices. Main Tasks/ Responsibilities: u2022 Maintain consistent service reports as directed, focus on timely preparation of work orders to achieve closure objectives. The accurate summary of technician notes so complete narratives reflect the complaint, cause and correction. u2022 Open and/or close internal and external work orders as directed in a timely manner. u2022 Follow the approved service department administrative policies and procedures applicable to work order flow from opening to closure. u2022 Contribute to the accurate filing and correspondence related to product updates, bulletins, and other materials, as assigned. u2022 Assist with the coordination of work order completeness for internal and external customers, as directed. u2022 Adhere to safety and health precautions as outlined within VCES publications. u2022 Perform other duties as assigned by supervisor. Education/Professional Qualifications required for the position: u2022 Must have at a minimum, a High School diploma or equivalent with 2-3 years of experience as an administrative or office assistant. u2022 Bacheloru2019s degree or higher from an accredited college in business administration or a related field is highly desired. u2022 2-3 years of experience with warranty, sales or vehicle repair or maintenance work orders is highly preferred. Additional Important Requirements: u2022 Customer relations and phone etiquette skills. u2022 Proficient in Microsoft products like Excel, and Word is required. u2022 Demonstrates professionalism and approaches others in a tactful and respectful manner. Accepts responsibility for own actions and follows through on commitments. u2022 Works with integrity, treats people with respect, and inspires the trust of others. u2022 Adapts to changes in the work environment and able to deal with the frequent changes, delays, and/or unexpected events. u2022 Teamwork /Supportive environment u2013 office setting. u2022 Able to work planned overtime when required / approved. u2022 Bilingual is a plus u2013 fluent with English, oral and writing skills. u2022 Proficient Writing Skills. u2022 Able to self-manage goals and assignments with minor direction. u2022 Requires prolonged periods of sitting and/or standing and occasional stooping, bending, and overhead reaching. u2022 Occasional lifting, pulling, caring, or pushing objects or materials, up to 10lbs. u2022 Will be potentially exposed to noisy, dusty areas including outdoor elements and environment. u2022 Must be able to climb stairs and may need to climb up heavy equipment and use a small step ladder. For this position, the base pay is set at $28.00 - $33.50/ hour, and where applicable, bonus eligible. The range for this role, as well as final salary offered, is determined by several factors including, but not limited to, geographic location, work-related knowledge, certifications, skills, education, and experience.
