Facilities ManagerLocation: Manhattan, NY (with travel to Deerfield and occasional Long Island locations)Hours: 9:00am-6:00pm, with flexibility as neededCompensation: $130,000-$175,000 annually, plus full benefitsReports to: Facilities DirectorOverviewOur client is seeking a Facilities Manager to support the Facilities Director and Property Manager in maintaining a high-end Manhattan residence in pristine condition. This role is responsible for the daily oversight, functionality, and well-being of all property systems and facilities.The Facilities Manager will be primarily based in Manhattan and will also oversee the Deerfield property in coordination with a local vendor. Flexibility to work at other Long Island locations and travel to Deerfield as needed is required.ResponsibilitiesProperty MaintenanceOversee the daily maintenance and operation of all property systems, including HVAC, electrical, plumbing, mechanical, lighting, AV, security, and related systemsPerform minor repairs and hands-on maintenance (e.g., changing lightbulbs, tightening fixtures, basic adjustments)Coordinate and manage external vendors, including reviewing quotes, scheduling work, and ensuring all services meet high-quality standardsMaintain strong vendor relationships and oversee work to ensure seamless executionAssist with interior upkeep as needed, including light cleaning tasks, restocking supplies, taking out trash, washing dishes, cleaning windows, and inventory managementProactively identify issues and communicate repair or maintenance needs to the Facilities Director and Property ManagerSupport and oversee renovation and repair projects, managing timelines and budgets under the direction of the Facilities Director and/or Property ManagerCreate, manage, and execute daily maintenance checklistsAssist with event and party setup, breakdown, and execution, including vendor coordination, delivery oversight, and on-site supportHandle incoming and outgoing mail and packagesRun errands as neededPreventative MaintenanceEnsure all systems are operating efficiently and safely at all timesConduct regular system checks and weekly diagnostics, including prior to property useTroubleshoot issues and coordinate repairs and improvements with vendorsReport system concerns and risks to the Facilities Director and Property ManagerMaintain inventory of maintenance supplies, tools, and equipmentCreate, manage, and track quarterly and annual preventative maintenance schedulesTechnologyEstablish and maintain preventative maintenance systems for all technology, devices, and equipmentCollaborate with Family Office staff and technology vendors on bids, scopes of work, installations, and repairsServe as the primary home technology and AV resource across propertiesCreate clear, user-friendly guides for principals and Family Office staffMaintain documentation of technology systems and make recommendations for upgrades and improvementsEmergency ResponseBe on call and respond promptly to urgent maintenance issues and property emergenciesQualificationsStrong understanding of building materials and their maintenance requirementsAdvanced knowledge of HVAC, electrical, plumbing, mechanical, lighting, AV, security, and related systemsStrong troubleshooting and diagnostic skillsAdvanced knowledge of residential technology and AV systemsHigh attention to detail with a natural inclination toward organization and cleanlinessProactive mindset with the ability to identify and address issues before they escalateFlexible, collaborative, and able to shift priorities quickly as neededMinimum of 5 years of hands-on experience troubleshooting household or facilities issues, including use of basic power toolsPrior experience working on private estates, luxury residential buildings, or within hospitality environments (hotels preferred)Service-oriented, discreet, and professionalAbility to lift 50+ pounds and stand for extended periodsMust be legally authorized to work in the United StatesMust be based in NYCMust have strong employment references and be willing to undergo a thorough background checkMust have a valid drivers licenseCompensation & Benefits: $130,000-$175,000 annuallyFull medical, dental, and vision benefits401 (k) with match after 1 year of employment10 days of paid vacation5 paid sick days11 paid holidaysBonus potential
