Supporting the overall account for efficiency, compliance and improvements. Review invoices for compliance and complete submission processes from vendors. Develop and maintain strong relationships with vendors, your team, and different business lines on the account. Review work order financial coding for compliance and verify asset and task details within work orders meet compliance requirements. Manage routine work order administration via Corrigo and CMMS software, and property management operationsWhat is your day to day?Lead and oversee the vendor coordination team, including managing performance, providing training, conducting weekly team meetings, and handling timekeeping responsibilitiesReview and verify vendor invoices for compliance with contract terms and company standards, then process approved submissions through established protocolsValidate work order financial coding accuracy and ensure assets/tasks within work orders comply with established protocols using Corrigo and CMMS systemsCoordinate and schedule maintenance activities with vendors while developing and maintaining strong working relationships across vendors and business linesSupport Operations management with tactical planning for team goals, provide meeting support as directed, and act as team-level escalation point for solutionsProvide direction to vendors, facilities teams, and service providers to ensure excellent work coordination and execution with minimal client disruptionMonitor office/facilities operations continuously through Corrigo and CMMS systems, interfacing with clients through the vendor coordination team as neededSupport specialty client requests including building interior/exterior work, artwork, construction projects, and signage coordinationAssist with budgetary requests, analysis, and reporting while interfacing with leadership on continuous improvement ideasDemonstrate superior customer service skills and maintain professionalism under challenging situations at all timesLocation and Travel RequirementsSelected candidate must reside within Nevada, Oregon, or Washington StateSelected candidate must be willing and able to travel 10-15% of the timeDesired experience and technical skillsRequired:3+ years of experience managing, leading, coaching, and training high-performing teamsAssociate degree in facilities management, building, business, or other related fields (or equivalent experience)2+ years of relevant experience in facility or property administration, working with facility scope vendors and vendor managementProficient in Microsoft Office programs spreadsheets with the capability of customizing administrative reports and dashboards (Excel, Word, PowerPoint)Experience with CMMS software and work order management systems (Corrigo preferred)Experience pulling reports and analyzing data and performance metricsThis position does not provide visa sponsorship.
