Yes County New York Street Address 28 Liberty Street City New York State NY Zip Code 10005 Duties Description Primary Purpose:Under general supervision, the Confidential Administrative Assistant provides high-level administrative support and acts in a confidential capacity to management, assisting the unit director/manager in coordinating the activities of the unit. The incumbent exercises independent judgement and discretion with regard to confidential matters.Essential Functions:u2022 Work in a confidential manner supporting management with regard to collective bargaining, contract administration, and other aspects of labor relations, including but not limited to developing and/or maintaining records related to: position justifications, recruitment and hiring, performance reviews, employee discipline, and contract grievances.u2022 Provide confidential administrative support services to management staff regarding policy and program administration matters relating to the division/department/unit.u2022 Prepare executive reports, Board mailings and other special high-level confidential reports including drafting correspondence, compiling documentation, and maintaining confidential files.u2022 Monitor management and unit staffu2019s projects and workload, providing support to prioritize tasks and ensure timely completion of confidential initiatives and management directives. Research information, prepare moderately complex analysis and present findings.u2022 Perform and/or oversee the recording and reconciliation of data from various sources to various internal and external systems/applications, including data transfer between systems.u2022 Compile and coordinate the submission of data for reports.u2022 Perform moderately difficult calculations.u2022 Develop, prepare, review, process and analyze documentation, forms, data and other records; ensuring confidentiality, consistency and accuracy.u2022 Develop, prepare and maintain reports, spreadsheets, databases, logs and charts of moderate complexity requiring use of intermediate and advanced computer application skills.u2022 Coordinate meetings, site tours, schedules and travel arrangements. Assist in the coordination of seminars and conferences.u2022 Prepare and/or review correspondence in accordance with established procedures.u2022 Research and prepare responses to internal and external inquiries and/or requests for information, prepare correspondence and respond directly to inquiries.u2022 Interact and/or correspond directly with DASNY staff, clients, contractors, and other external entities.u2022 Manage and prioritize clerical workload, including work involving confidential materials, and monitory completion to ensure accuracy and compliance.u2022 Review and/or approve documents, reports and other assignments performed by clerical staff.u2022 Attend meetings and prepare minutes.u2022 Coordinate follow-up on issues identified in meetings.u2022 Coordinate communication within the unit, with other departments and with outside organizations.u2022 Confer and/or correspond with internal and external parties to assure proper completion of forms, documents and other materials in accordance with applicable requirements; identify and describe potential problems or delays encountered and relay relevant information to unit manager/supervisor.u2022 Conducts bid openings and/or maintain related files and information.Collect, sort, screen and distribute mail, cash receipts, and other documents.u2022 Maintain and organize libraries, hard copy and/or system storage files.u2022 Recommend and develop improvements to unit processes, documents and forms.u2022 Assist in monitoring the unit budget, prepare payment documentation and purchase order requisitions.u2022 Assist in the development, testing and implementation of computerized systems applications.u2022 Prepare presentations using PowerPoint or other desktop presentation software.u2022 Utilize graphic editing, publishing, and other types of software as necessary.Other Duties and Responsibilities:u2022 Provide backup for Executive Assistants and other staff as needed.u2022 Provide confidential support to Managing and Senior Director, Directors and other u2022Management Staff and as such may have access to confidential information.u2022 Assist with the training of clerical staff.u2022 Assist with the documentation and implementation of procedures.u2022 Assist with internal controls implementation, review and testing.u2022 Undertake special assignments as directed.u2022 Must maintain regular attendance in accordance with DASNY attendance and leave policies.u2022 Must adhere to the NYS Information Security Policy Standards established and issued by the Office of Cyber Security and Critical Infrastructure Coordination. (Standards can be found on the Intranet).Supervision:N/APhysical/Mental/Visual Demands:Occasional travel may be required using public transportation, DASNY vehicle, rental vehicle or personal vehicle. This travel may include overnight stays at public accommodations and related establishments. Overtime or extended work hours may be required.Work Environment:Standard office environment, including the use of one or more of the following: PC, telephone, fax machine, printer, copier, electronic stapler/hole punch/date stamp, shredder. Minimum Qualifications Minimum Qualifications:Bacheloru2019s degree; or Associated degree plus three years of relevant experience; or a High School diploma or equivalent plus five years relevant experience.Preferred Qualifications:Master's degree with no relevant experience or Bacheloru2019s degree plus one-year relevant experience.Essential Skills:u2022Excellent oral and written communications skills.u2022Demonstrated organizational skills and ability to prioritize.u2022Strong interpersonal skills.u2022Demonstrated ability to work independently.u2022Proficiency in PC applications such as Outlook, Excel, Access, Word and PowerPoint.u2022Demonstrated judgment and discretion in matters of confidentiality.
