Job Description

Description We are looking for a detail-oriented Office Manager to join our client's team in Indianapolis, Indiana. This role requires a proactive individual who excels in managing financial records, processing payroll, and overseeing accounts payable and receivable tasks. The ideal candidate will also assist with human resources functions and ensure the smooth operation of office activities. Responsibilities: u2022 Manage accounts receivable by documenting remittances, processing homeowner and builder checks, and running weekly reports to ensure timely collections. u2022 Handle accounts payable, including tracking purchase orders, processing invoices, and maintaining an organized filing system for audits. u2022 Process daily work orders and invoices using company-specific software to maintain accurate financial records. u2022 Conduct month-end audits by running aging reports, following up on overdue accounts, and reporting any issues to the Branch Manager. u2022 Support human resources tasks such as onboarding new hires, managing benefit updates, and maintaining accurate employee records. u2022 Oversee payroll processing by verifying daily timecards, updating employee pay spreadsheets, and ensuring timely submission of payroll data. u2022 Coordinate fleet management by tracking vehicle inspections, scheduling maintenance, and managing payment for services. u2022 Order office and safety supplies as needed, ensuring cost-effective purchasing practices. u2022 Assist with incoming calls to support the operations team and ensure excellent customer service. Requirements u2022 At least 3 years of experience in bookkeeping or a related role. u2022 Proficiency in QuickBooks and other accounting software. u2022 Strong knowledge of accounts payable and receivable processes. u2022 Experience with bank reconciliations and payroll processing. u2022 Excellent organizational skills and attention to detail. u2022 Ability to handle confidential information with discretion. u2022 Effective communication and interpersonal skills. u2022 Familiarity with fleet management and office supply ordering is a plus.
