Job Description

The Office Manager will support company operations by maintaining office systems and instituting an office structure that stresses responsiveness to customers and fellow partners within the branch. S/he coordinates and supervises branch tasks that affect our core business opportunities in rental, service and sales. They will also support and monitor branch rental standards program, manages compliance issues as well as inventory issues that affect customer orders. This is a salaried position Monday - Friday.High School Diploma required; Associates or Bachelor’s degree preferredAbility to work in a fast-paced dynamic environmentConstruction industry experience preferredUnderstand liens and knows how to file preferredPrevious inventory control experience preferred - preferably in a rental environmentCustomer Service experienceMust have accounts receivable and collections experienceStrong organizational skillsExperience in a construction environment a plusSelf-StarterMust be a multi-taskerExperience with Systematic or similar software a plusProficiency with Microsoft Office requiredMaintain officeby managing and enforcing office operations and proceduresAssist customers and ensure their needs are met in a timely mannerOrder, review and approve of supply requisitionsAccounts payable, including ensuring vendor invoices are processed and submitted within a set time frameResponsible for managing record retention, retrieval, and transfer Implement and maintain office systems and equipmentResponsible for file maintenance and organizationEnforces corporate policies and established standards and proceduresContributes to team effort by accomplishing related results as neededAccounts Receivables, including invoicing, collections, and processing customer paymentsManage rental contracts entry into Systematic, ensuring accurate inventory dataManage rental returns, ensuring adjustment entries are made according to proceduresManage sales and work orders, ensure they are input and processed correctlyProduce sales and rental reports per procedures as well as upon management requestReporting analysis and trend information based on accurate data to managementResponsible for cycle and freight billingManages all branch correspondence and mail distributionAdministrative support for sales and operationsOffice supply inventory controlAdministrative branch HR functionsSubmit time sheets to Payroll by the assigned bi-weekly deadlineOther duties as assigned
