No County Albany Street Address 99 Washington Avenue City Albany State NY Zip Code 12231 Duties Description PREFERRED QUALIFICATIONS: u2022 Microsoft Suite experience.u2022 Experience maintaining large quantities of inventory.Duties Description The Office Assistant 2 duties in Bureau of Administrative Support Services (BASS) will include but are not limited to the following: u2022 Provide customer service and clerical support, greet visitors and provide access to only authorized individuals.u2022 Sign for and sort mail from UPS, Fed Ex, USPS, couriers.u2022 Communicate effectively with agency staff, vendors, shippers and other parties.u2022 Handle inquiries and provide responses to visitors.u2022 Ensure the mailroom is organized and safe.u2022 Maintain attendance calendar for mailroom staff.u2022 Provide training for new staff.u2022 Create, maintain and update spreadsheets and other documents.u2022 Answer incoming calls, record messages and forward to appropriate staff.u2022 Assist in managing the Bureau's Help Desk and respond to inquiries.u2022 Sort, distribute and process daily mail.u2022 Assist in processing State Records Center records requests.u2022 Assess the need to order supplies based on inventory levels and enter purchase requests into the Statewide Financial Systemu2022 Operate and perform basic maintenance on office machines and equipment.u2022 Other duties as assigned. Minimum Qualifications COMPETITIVE MINIMUM QUALIFICATIONS:CIVIL SERVICE LIST APPOINTMENT: Candidates must be reachable on the appropriate Civil Service eligible list.TRANSFER QUALIFICATIONS: Permanent service in this title or one year of permanent competitive or 55-B/C service in a title SG-06 or higher and otherwise eligible for transfer under Civil Service Law.A list of titles approved for transfer is available through Civil Service GOT-IT at NON-COMPETITIVE MINIMUM QUALIFICATIONS:NY HELPS:This title is part of the New York Hiring for Emergency Limited Placement Statewide Program (NY HELPS).For the duration of the NY HELPS Program, this title may be filled via a non-competitive appointment, which means no examination is required but all candidates must meet the minimum qualifications of the title for which they apply. At a future date, it is expected employees hired under NY HELPS will have their non-competitive employment status converted to competitive status, without having to compete in an examination. Employees will then be afforded with all the same rights and privileges of competitive class employees of New York State. While serving permanently in an NY HELPS title, employees may take part in any promotion examination for which they are qualified.The minimum qualifications for Non-Competitive appointment are: One year of clerical experience.55 B/C APPOINTMENT: This position is eligible for 55B/C designation and candidates with 55B/C eligibility are encouraged to apply.
