The OpportunityThe Ashley School of Global Development and the Environment is seeking a detailoriented, collaborative, and serviceminded Appointment and Onboarding Coordinator to play a central role in supporting our academic community. This position is vital to ensuring smooth, accurate, and inclusive appointment and onboarding experiences for faculty, staff, visitors, and students across the School. The Appointment and Onboarding Coordinator orchestrates a broad range of academic and nonacademic personnel processes, working closely with School administrative managers, CALS Human Resources, and university partners. This role oversees appointments throughout the employee and visitor lifecycle, ensures compliance with college and university policies, and serves as a trusted resource for faculty, staff, and international scholars. A significant focus of the position is helping faculty hire academic and nonacademic employees that will support their research projects, as well as leading onboarding initiatives that help new members of the Ashley School feel supported, informed, and connected from day one. What You Will DoAppointment Coordination: * Coordinate academic, nonacademic, and visitor appointments, including new hires, extensions, promotions, reclassifications, compensation changes, and onetime payments. * Prepare, revise, and assist with position descriptions and appointment justifications for review and approval by CALS HR. * Coordinate multistep appointment processes using systems such as TAS, AJO, and college/university appointment platforms (excluding Workday transactions). * Support hiring processes for staff, visiting academics, hourly employees (including student positions), interns, and undergraduate/graduate research interns. * Assist with posting and managing positions and updating appointment status. * Provide guidance and backup support to colleagues involved in appointment processes. * Apply sound judgment and discretion when handling sensitive and confidential information. Academic Visa and International Scholar Support: * Coordinate academic visa processes for incoming and continuing international employees and visitors. * Prepare required documentation and guide foreign nationals through F1, J1, H1B, and other relevant visa processes. * Serve as a knowledgeable resource on college, university, and federal immigration policies in partnership with CALS HR and the Office of Global Learning. Administrative and Onboarding Support: * Lead and support onboarding initiatives by developing and maintaining Ashley School-specific onboarding materials. * Update LaunchPad content and create consistent onboarding documentation tailored to different appointment types. * Communicate essential information to new hires and coordinate room assignments. * Ensure timely updates to listservs, webpages, and contact lists. * Collect, compile, and analyze data for administrative, reporting, and compliance needs. * Draft reports, spreadsheets, and other materials as needed. * Contribute to continuous improvement and standardization of administrative processes. School Administration: * Provide backup support for main office reception and administrative functions as needed. * Assist with maintaining faculty, staff, student, and emergency contact lists. * Collaborate with colleagues to strengthen operational effectiveness across the School.
