Position SummaryThe Bookkeeper is responsible for maintaining accurate financial records and fulfilling the day-to-day accounting functions of Polysport USA. This position is important as it is responsible financial data, invoicing, collections, and the preparation of financial reports. The ideal candidate will demonstrate strong proficiency in QuickBooks, a understanding of accounting principles, and the ability to operate in a fast-paced construction environment. Essential Duties and Responsibilities:Accounts Receivable & Billing Administration:Prepare, review, and issue customer invoices in accordance with contract terms and project milestones.Monitor accounts receivable aging and proactively manage collections.Post and reconcile incoming payments, including checks, ACH, and wire municate with clients regarding billing discrepancies and payment status.Coordinate with project management and operations teams to ensure billing accuracy and completeness.Financial Recordkeeping & General Ledger Maintenance:Accurately record daily financial transactions within QuickBooks.Maintain and reconcile general ledger accounts.Perform regular bank, credit card, and account reconciliations.Ensure proper documentation and classification of all financial transactions.Financial Reporting & Analysis:Prepare monthly financial statements, including profit and loss, balance sheet, and cash flow summaries.Provide monthly financial overviews and supporting reports directly to the CEO.Review financial data for accuracy, completeness, and inconsistencies.Assist in identifying trends, variances, and areas requiring attention.Month-End & Year-End Close Support:Assist with month-end closing procedures, including reconciliations and journal entries.Support year-end close processes and preparation of financial documentation.Coordinate with external accountants, auditors, and tax professionals as pliance & Record Retention:Maintain organized and compliant financial records in accordance with company policies and applicable regulations.Ensure confidentiality and security of financial information.Support internal controls and process improvements within the accounting function. Qualifications:Education & Experience:Bachelor’s degree in accounting, Finance, or related field.Minimum of 2-5 years of bookkeeping or accounting experience.QuickBooks Certified.Experience in construction, contracting, or project-based industries strongly preferred.Technical Skills:Required: Proficiency in QuickBooks (Desktop and/or Online).Strong working knowledge of Microsoft Excel (including formulas, reconciliations, and reporting).Familiarity with job costing, progress billing, and project-based accounting preferred.Core Competencies:High degree of accuracy and attention to detail.Strong organizational and time management skills.Ability to manage multiple priorities and meet deadlines.Analytical mindset with problem-solving capabilities.Effective written and verbal communication skills.Ability to work independently.
